A Business Reply Mail (BRM) template is a preformatted envelope design. It allows businesses to pay postage only when customers actually respond. Your customers send mail back without any postage cost to them. You pay only for envelopes returned to you.
You must obtain a BRM permit from your local USPS Business Mail Entry Unit before printing. Your permit number appears on every BRM envelope. When a customer drops the envelope in any mailbox, USPS routes it to your address using the ZIP+4 barcode. You pay the First-Class postage fee plus a small per-piece handling charge for each returned piece.
USPS offers two BRM payment programs. Standard BRM charges a per-piece fee upon delivery. Qualified Business Reply Mail (QBRM) adds a smaller annual fee and lowers the per-piece cost. QBRM also delivers envelopes faster.
The USPS sets strict placement rules for all BRM pieces. Each envelope must carry five required components:
Courtesy Reply Mail (CRM) differs from BRM in one key way. With CRM, you supply a preaddressed envelope, but the recipient must add a stamp before mailing. BRM removes that step. Recipients simply drop BRM envelopes into any USPS collection box at no cost. Removing the postage barrier raises response rates for most campaigns.
The standard #9 BRM envelope measures 3-7/8 by 8-7/8 inches. It fits neatly inside a standard #10 outer envelope. Businesses use this format for billing statements, payment remittance, membership renewals, donation requests, and customer satisfaction surveys.
